I wanted to bring up a few points to you to relay to your parents to enforce and recognize. Once registration closes, there will be no changes or additions. It is closed. I need Thursday morning to get the meet seeded in the Meet Manager software and get the database to the timing company. There is no time allowed for making late changes so they will not be allowed for any reason. Please ensure you get your entries in on time.

 

Also, at the meet, there are no changes either, since all the paperwork for heat and lane assignments are printed in advance and the database is in the hands of the timing company. For instance, if a parent is late arriving and their 8U child missed their heat but we are still running 8U, we will not add them into a different heat. If they miss their heat, they will not run in that event. If we allow changes for one, we would need to do for all. While it may seem trivial to make a single adjustment. If you do for all, we are spending hours making changes at the meet. Please let your parents know that this is a very strict meet. We run the heats quickly, so it is up to the parents and the teams to pay attention.

 

I will provide an estimate next week on heat times but this is just an estimate. We could easily get over an hour ahead of the estimate; possibly more. Last weekend at Kennworth, we quickly got ahead by an hour of the estimates with much fewer athletes. This caught many parents off guard and their athletes missed their event.

 

For distance events, we will be running big heats. For the 800, we will run a split start so we might have as many as 20 on the track for a race. Also, we may be firing off sprint events before the next one has finished. This may cause the spectator clock to change and sometimes confuses some parents. Please let them know this is not the official time. It is just for spectator reference.

 

For the field events, please tell your families that they need to get to their event as soon as they can. We are trying to have all field events closed out by noon. Once we get close to noon and the majority of the athletes have checked in and made their jump or throw, we will wait another 10 – 15 minutes and then close out the event. There will be no re-opening of a field event due to a late arrival.

 

Lastly, and this will be strict, ONLY athletes, coaches (who have passed the USATF background and SafeSport programs) and volunteers will be allowed on the field. NO PARENTS will be allowed. Please also inform your parents to not yell over the fence and try and give instructions to the meet managers. We have a system. A common occurrence is that the kids are staged for a sprint event and one is standing at the front of the line in a lane but is not brought to the starting line. This is due to them being in the next heat. But parents will start yelling that we are skipping their child. This slows the process down and is not needed. We do at least two checks before putting them on the line.

 

I realize these are strict policies. But in order to run a meet efficiently, we must run it strictly. Please do reiterate to your parents that these are the policies and there is no deviation for any reason. Understanding this in advance helps prevent any issues that may occur at the meet.


Also...


Please instruct your parents not to put any tents up on the first eight rows of the home side of the stadium. We want to leave this open for those who wish to watch the heats. We will ask them to take it down if seen put up.  The visitor side is completely open to put tents up anywhere.

  • Only athletes, background checked and Safe Sport verified coaches and volunteers allowed on the field..

Event limits
  • Competitors in the 8 and under, 9-10 or 11-12 year old divisions may enter a maximum of three individual events. 
  • Competitors in the 13-14, 15-16 or 17-18 year old divisions may enter a maximum of four individual events.  
  • Additionally, Competitors may also enter the 4x100 and/or 4x400 relay events.

Note about "estimated" times: With the exception of the 3000m run, we cannot tell you with certainty when a particular running event will start.  The "pace" of the meet depends on the number of athletes competing, the number of heats required, and the ability of the meet hosts to keep things running quickly.  This is referred to as a "rolling start"; the next event is started when the previous event is completed.

General overview -  For comparison purposes, this meet has 1726 "athlete/events" on the track compared to 890 for the meet at Allatoona HS, meaning this meet is "double" in size.  An "athlete/event" is defined as the number of track events each athlete is competing in.  If an athlete is competing in 3 events on the track, they have 3 "athlete/events".  This meet has 258 "heats" on the track, compared to 137 at the last meet.  A heat could last 15 seconds (100m) to 15 minutes (3000m).  That is why the estimates help determine what time to arrive.
  • 3000m run - start time 8:00 am (actual 8:06 am)
    • USATF Rule 301 - Only athletes in the 11-12 age division (and older) are eligible for the 3000m run.
  • 100m hurdles (estimated 9:00 am; actual 9:16 am) - Only athletes in the 11-12 age division (and older)
  • 400m dash (estimated 9:22 am; actual 9:36 am)
